Job Description

Overview of the Role:

As the primary on-site contact, you’ll be responsible for office operations, space management, hospitality, and day-to-day administrative support . You’ll work closely with the remote Office Manager to ensure seamless operations and embody the values and service excellence of the firm.

Key Responsibilities:

  • Act as liaison with building management, security, and vendors.
  • Submit and track maintenance requests via the building portal.
  • Greet and announce guests; coordinate with security.
  • Monitor video surveillance and validate visitor parking.
  • Manage reservations using internal systems.
  • Support room scheduling, conflict resolution, and setup coordination.
  • Partner with building concierge for additional room bookings.
  • Place, track, and confirm catering orders following firm guidelines.
  • Set up and break down catering and meeting spaces as needed.
  • Issue and track employee and visitor badges.
  • Coordinate with building security to maintain badge access lists.
  • Respond to service requests promptly and follow up as needed.
  • Support life event gifts, business card orders, courier coordination, and special projects.
  • Assist with event coordination and execution.
  • Process all incoming/outgoing mail, including FedEx, UPS, USPS, and Certified Mail.
  • Occasionally deliver packages or mail to the post office.
  • Monitor and replenish office, kitchen, café, snack, and restroom supplies.
  • Keep workstations stocked with office essentials.
  • Ensure cleanliness of all common areas, meeting rooms, and workstations throughout the day.
  • Maintain organization and presentation of café areas, phone booths, and visitor-ready rooms.

Qualifications:

  • Proficient in Microsoft Office Suite .
  • Excellent written and verbal communication skills.
  • Strong customer service orientation.
  • Proactive , resourceful, and solutions-driven.
  • Highly organized with the ability to prioritize and multitask.
  • Capable of working both independently and collaboratively with remote teams.
  • Able to be on your feet for extended periods and lift up to 25 lbs.
  • Prior office administration or workplace experience (WPX) preferred.
