Catering & Events Coordinator
Summary The Catering & Events Coordinator is responsible for supporting the planning of all events by the Director of Catering & Events (“the supervisor”) as well as the planning and the execution of small scale events under the guidance of the supervisor.
Essential Duties and Responsibilities
Other duties may be assigned.
Takes detailed telephone and email messages in a timely, professional and client centric manner.
Promotes the image and services of the Club.
Attends tours of the Club’s facilities with the supervisor to take detailed notes.
Prepares written event contracts as directed by the supervisor and submits to the Managing Director for approval.
Meets with clients to plan and organize events under the direction of the supervisor.
Coordinates with the Executive Chef to obtain menus for all Club events.
Maintains deposit schedule and follows up on all contractual payments for events as well as necessary documentation, insurances, etc. for every event.
Drafts floor plans for functions.
Helps create Banquet Event Orders (BEOs) to distribute to departments.
Prepares 12 Day Reports on a weekly basis and event calendar on a Monthly Basis.
Prepares and distributes BEO packets.
Attends weekly BEO meetings.
Maintains an accurate file system and files correspondence and other records, including event files.
Adheres to all Club policies, procedures and safety protocols at all times.
Assists in the planning and execution of member events.
Assists the supervisor with planning and day-of coordination of large scale events.
Maintains effective communication with each department to ensure guest satisfaction.

Education and/or Experience: Bachelor's degree (B. A.) from four-year College or university; or two to three years related experience and/or training; or equivalent combination of education and experience.
Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers, members/guests, vendors or employees of the organization.
Mathematical Skills: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Computer Skills: To perform this job successfully, an individual should have knowledge of Database software; Spreadsheet software and Word Processing software. Knowledge of All Seated and Google Suite is preferable.
